Check permission and privacy first
Before pasting or uploading a document, check whether you are allowed to share it with that AI service. Work files, client material, school records and personal correspondence may have privacy or confidentiality rules.
Remove names, contact information and identifiers that are not needed. If you cannot safely share the material, ask for a summary structure using a fictional example instead.
Choose the summary you need
“Summarize this” is open-ended. Say whether you need the main ideas, decisions, action items, questions, or an explanation for a new reader. Set a length and ask the assistant to preserve uncertainty and disagreement.
For action items, tell it to use only owners and deadlines named in the source. It should label missing details instead of filling them in.
- Name the audience and purpose.
- Choose a structure, such as headings or a short bullet list.
- Ask for page or section references if the tool can reliably provide them.
- Compare the result against the original before sharing.
Check for omissions and changed meaning
Look for a missing exception, condition, minority view, number or “not.” A concise summary can leave out the detail that changes the meaning.
Do not treat a summary as the record of a meeting or as a substitute for the source when exact wording matters. Keep the original available and correct the summary yourself.
Try this prompt
Summarize the following text for [AUDIENCE] in [LENGTH]. Separate main points, decisions and open questions. Use only details in the source. Do not infer owners or deadlines; label them “not stated.” Text: [PASTE ONLY MATERIAL YOU ARE ALLOWED TO SHARE]
Concrete example
Sample input
Fictional notes: “Team chose the park for the picnic. Rain plan still undecided. Maya will check shelter availability by Friday.”
Illustrative output
Decision: picnic location is the park. Open question: rain plan not decided. Action: Maya to check shelter availability by Friday.
Limitations to keep in mind
A summary can omit qualifications, disagreement or important details. Only share material you are permitted to share, and compare important statements with the original before relying on or distributing the summary.
