Use placeholders instead of private names and account details.
Tell the assistant not to invent facts or commitments.
Check every detail and send the email yourself.
Give it the message, not your whole inbox
Describe the purpose, recipient relationship, key points and tone. Use a generic description such as “a client” rather than pasting a full name or confidential thread.
Replace private details with placeholders. Never paste passwords, account credentials or sensitive records. Check the AI service’s own privacy information before using it with work material.
Set boundaries for the draft
Tell the assistant to use only the facts you provide, keep your meaning and flag anything missing. If it should not make a promise or set a deadline, say so explicitly.
Ask for one draft at a time. A second version can be useful when you want to compare tone, but more options are not automatically better.
- State why you are writing.
- List the points that must be included.
- Name the tone and desired length.
- Ask it not to invent facts, dates or commitments.
Edit before sending
Read the draft out loud. Correct names, dates, attachments, links and commitments. Remove anything that sounds unlike you or shares more than needed.
AI should not send the message for you. Make the final decision yourself, especially for sensitive conversations, complaints, hiring or financial commitments.
Try this prompt
Draft a friendly, professional email to [RECIPIENT ROLE] about [PURPOSE]. Include only these facts: [FACTS]. Ask for [NEXT STEP] by [DATE IF PROVIDED]. Do not invent details or make extra promises. Keep it under 150 words.
Concrete example
Sample input
Recipient: a volunteer coordinator. Purpose: ask whether setup help is needed. Fact: I am available Saturday morning. Tone: warm and concise.
Illustrative output
Subject: Saturday setup help Hi, I’m available Saturday morning and would be glad to help with setup. Is there anything you need me to bring or take care of? Thanks!
Limitations to keep in mind
A draft can introduce a promise, date or tone you did not intend. Do not include private inbox content unless the service and your organization allow it, and review every detail before sending.
